Sovereign Housing Group

A unified fleet delivered Sovereign Housing Group improved functionality, while integrating the print management system enabled them to have controlled access by users.

The Background

Whilst progress had been made by Sovereign in recent years to reduce the number of MFDs and printers across all offices, the absence of a print management system meant the company had limited control of the volumes, costs and working practices of staff using this equipment.

The fleet was a mix of different makes, models and ages, which would not only limit the ability to integrate it fully with a new system but was also a cause of frustration for users with inconsistent functionality, different toners, and a lack of confidentiality some of the issues highlighted.

 

The Solution

Sovereign carried out a full tender process with pre-qualification and Apogee outperformed all others and were appointed based on this selection criteria. Apogee’s project approach, technical expertise, and commercials were areas where they showed themselves to be particularly strong.

Apogee rationalised the fleet into a single, unified brand of networked MFDs and integrated this entire fleet into a new print management system.

 

The Outcome

Having a unified fleet delivered Sovereign Housing Group improved functionality, while integrating the print management system enabled them to have controlled access by users, linked to staff ID cards already used for parking and door access. All actions could be monitored and reported on to show the costs and volumes of each user, and automatically comply management information (MI) reports.

The solution provided each user quick and easy document scanning and the ability to retrieve prints from any MFD at the swipe of their card. This eliminates wastage and lost prints as unreleased print jobs are deleted from the print queue after 24 hours, saving paper, toner and the cost of disposal.

The print management solution also enforced best practice defaults of duplex and mono printing to reduce waste and costs further, while contributing to positive behavioural change.
